Calendar Overview
Frontdesk AI can schedule appointments on your behalf during phone calls and through a shareable online booking page. The Calendar section of your dashboard is where you manage everything related to appointments, services, and availability.
How AI-powered scheduling works
- You create services -- define the types of appointments you offer (e.g., "30-Minute Consultation", "Property Tour").
- You set your availability -- tell Frontdesk when you are free to take appointments.
- You connect your calendar -- sync with Google Calendar so events stay in one place.
- Your AI books appointments -- when a caller asks to schedule, your AI receptionist checks your availability, picks an open slot, and books it. The event appears on your calendar automatically.
Customers can also self-schedule through a public booking link you can share or embed on your website.
The Calendar page
Open Calendar from the dashboard sidebar. The page has three tabs:
Calendar
The main calendar view shows all of your upcoming appointments. You can switch between three display modes using the toolbar:
- Month -- a full month grid
- Week -- a 7-day time grid
- Day -- a single day with hourly slots
Use the navigation arrows and Today button to move between dates.
Click on any date or time slot to create a new event. Click on an existing event to view its details, edit it, or delete it.
A sidebar on the right lists all appointments for the currently selected date, including participant name, phone number, duration, status, and location.
My Services
This tab lists the bookable services (appointment types) you have created. From here you can:
- Search services by name or host
- Create a new service by clicking Add New Service
- Edit, enable/disable, or delete existing services
- Copy a direct booking link for any service
- Copy your general public booking link that shows all services
- Get an embed code to add the booking page to your website
Availability
Configure when you are available for appointments:
- Google Calendar Sync -- connect your Google Calendar so Frontdesk can read your existing events and prevent double bookings
- Business Timezone -- set the timezone your schedule operates in
- Available Hours -- define your working hours for each day of the week
Click Save Availability after making changes.
