Post-Call Text Messages
Post-call text messages let you automatically send an SMS to callers after the call ends. You can use them for follow-ups, feedback requests, or sharing additional information based on what happened during the call.
Where to find it
Post-call text messages are located on the Overview page of your receptionist dashboard, under the Post Call Text Messages section.
Adding a post-call message
- In the Post Call Text Messages section, click Add.
- The Add New Scenario modal opens.
- Fill in the fields described below, then click Save.
Trigger Type
Select when the text message should be sent. Choose from:
- After Every Call -- The message is sent after every call, regardless of what happened. Only one "After Every Call" scenario can exist.
- If the duration is less than -- The message is sent only if the call was shorter than a specified number of seconds. Enter the duration threshold in the field that appears (for example, 10 seconds). This is useful for following up with callers who may have hung up early. Only one "Duration Check" scenario can exist.
- Custom Scenario -- The message is sent when a condition you describe is met. Enter a description of the scenario in the text field that appears. Example: "If caller mentioned calling back." You can create multiple custom scenarios.
Text Message
Enter the message to send. The maximum length is 500 characters. The placeholder text changes based on your selected trigger type to give you relevant examples.
Managing existing scenarios
Each scenario appears as a numbered card (for example, Scenario 1, Scenario 2).
- Edit -- Open the scenario to change the trigger type or message.
- Delete -- Remove the scenario permanently. You will be asked to confirm.
You can click Add Another Scenario to add more scenarios. You can have one "After Every Call" trigger, one "Duration Check" trigger, and up to 10 total scenarios.
Tips
- Use the "After Every Call" trigger for universal follow-ups like feedback forms or thank-you messages.
- Use "Duration Check" to reach out to callers who hung up quickly -- they may need help but did not get it.
- Keep messages concise and include a clear call-to-action (for example, a link to a feedback form or your website).
