Greeting Phrase
The greeting phrase is the first thing callers hear when your AI receptionist answers the phone. A well-crafted greeting sets the tone for the entire conversation and lets callers know they have reached your business.
Where to find it
Your greeting phrase is located on the Overview page of your receptionist dashboard, under the Greeting Phrases section.
Editing your greeting phrase
- In the Greeting Phrases section, click the Edit button in the top-right corner.
- Type your greeting in the English text field.
- Click Update to save your changes, or click Cancel to discard them.
Best practices for greeting phrases
Keep your greeting short and direct. A good example:
"Welcome to [your business name], how may I help you?"
If your greeting is too long (more than 15 words), the dashboard will display a warning. Research shows that 75% of callers hang up when the greeting is too long because they assume they have reached a voicemail.
Multi-language greetings
If you have enabled additional languages for your receptionist (see Language Settings), separate greeting fields will appear for each language you have selected. Each language has its own text field labeled with the language name (for example, Spanish, French).
To set a greeting for another language:
- Click Edit on the Greeting Phrases section.
- Scroll down to the field for the desired language.
- Enter your greeting in that language.
- Click Update to save all greetings at once.
If you do not provide a custom greeting for an additional language, a default example greeting for that language will be used automatically. For instance, the default Spanish greeting is "Hola, en que puedo ayudarte?" and the default French greeting is "Bonjour, comment puis-je vous aider?"
Tips
- Mention your business name so callers know they reached the right place.
- End with an open question like "How may I help you?" to prompt the caller to speak.
- Avoid including hours, addresses, or other details in the greeting -- save that for the knowledge base.
