CRM Connections

Connections sync contacts and custom fields between Frontdesk and an external CRM, so your AI receptionist has richer context on every caller and your CRM stays up to date. HubSpot is available today; Salesforce, Pipedrive, and Zoho are coming soon.

This feature is rolling out gradually. If you open the Connections tab and see "This feature is not enabled for your account," contact support to request access.

Connecting HubSpot

  1. Open CRM (Customers) and click Connections in the tab row.
  2. On the HubSpot card, click Connect HubSpot. You are redirected to HubSpot to authorize the connection with OAuth 2.0. Frontdesk never stores your HubSpot password.
  3. After you authorize, Frontdesk's AI analyzes the fields in both systems and proposes a field mapping for you to review.

If you leave partway through setup, return to the Connections tab and click Continue setup on the HubSpot card.

Reviewing the AI-suggested field mapping

The Review field mapping screen shows every proposed mapping, marked AI-suggested. No changes are made in either system until you approve. Proposals are grouped into categories:

  • Needs your input -- mappings with a confidence below 80%. The AI mapped these but is not fully sure. Review each row, then approve, edit, or skip it. You can also click Approve all for the section.
  • Core fields -- name, email, and phone are always synced and cannot be unmapped.
  • Auto-mapped -- high-confidence matches that exist in both systems.
  • New smart variables in Frontdesk -- fields that exist only in HubSpot. Frontdesk creates matching fields so HubSpot values land somewhere.
  • New properties in HubSpot -- fields that exist only in Frontdesk. Frontdesk creates custom HubSpot properties to receive them.
  • Skipped -- internal and analytics fields that are not synced.

Each row shows a confidence percentage pill (green for high, amber for medium, red for low). Click Save as draft to keep your edits and come back later, or Approve to apply the mapping. If any rows fail to save, they move to Needs your action, where you can edit and retry or skip them.

Sync status and direction

Once the mapping is approved, the provider header shows a HubSpot connected badge (before approval it reads Awaiting your approval). The sync is bidirectional and runs every 15 minutes: contacts created or updated in either system flow to the other, and mapped fields stay in sync.

From the header you can also re-run the AI proposal to refresh the mapping after you add fields in either system.

Disconnecting

  1. Open the Connections tab and select your connected provider.
  2. Click Disconnect in the provider header and confirm.

Contacts in both systems are preserved. You can reconnect later, and your approved mapping can be set up again.

Other CRMs

The Connections tab lists Salesforce, Pipedrive, and Zoho under Other CRMs with a Coming soon badge. These providers cannot be connected yet.

Tips

  • Approve promptly -- syncing does not start until you approve the field mapping.
  • Re-run after schema changes -- if you add fields in HubSpot or Frontdesk, re-run the AI proposal so the new fields get mapped.
