Pipelines

Pipelines let you track deals, jobs, or any staged process on a kanban board. Each pipeline is a special field on your customer records with an ordered list of stages, a default win probability per stage, and an optional amount field for deal value.

Creating a pipeline

  1. Open CRM (Customers) and switch to the Pipeline (board) view using the view toggle in the actions bar.
  2. Open the pipeline dropdown in the actions bar and choose + Create pipeline. (If you have no pipelines yet, the dropdown reads No pipelines yet.)
  3. In the Create Pipeline modal, enter a Pipeline name (for example, "Sales Pipeline").
  4. Review the Stages list. New pipelines start with Lead (10%), Qualified (40%), and Won (100%). For each stage you can:
    • Rename it by editing the stage name.
    • Set its default win probability with the percentage input. Probabilities cannot decrease as you move down the pipeline.
    • Reorder it with the up and down arrows.
    • Remove it with the X button.
    • Add more stages with the Add a stage... input and the Add button.
  5. Optionally pick an Amount field. Choose an existing number field, or type a name in New number field name and click Create to add one. The board totals this field per column and weights it by stage probability.
  6. Click Create Pipeline, or click Create + save view to also pin the pipeline to your saved views row.

Using the pipeline board

With the board view active, select a pipeline from the dropdown in the actions bar. Each stage becomes a column showing the stage name, its default probability, and the number of records in it. If the pipeline has an amount field, the column header also shows the total amount and a Weighted total (amount multiplied by stage probability).

  • Move a record: drag its card from one column to another. The record's stage updates immediately.
  • Edit a card's probability: click the percentage chip on a card, type a new value from 0 to 100, and press Enter. This overrides the stage default for that record.
  • Clear the pipeline selection: click the X next to the dropdown.

Editing and deleting a pipeline

With a pipeline selected on the board, icon buttons appear next to the dropdown:

  • Edit pipeline (pencil) reopens the modal so you can rename the pipeline, adjust stages and probabilities, or change the amount field. Click Save Pipeline to apply.
  • Delete pipeline (trash can) removes the pipeline field.

You can also edit a pipeline from the Fields & Schema tab, where pipelines appear alongside your other fields.

Saving a pipeline board as a view

Saved views give you one-click access to a pipeline board:

  • Click the Save pipeline view icon next to the pipeline dropdown, or
  • Use Create + save view when creating a pipeline, or Save as view (later Update view) when editing one.

The view appears as a chip with a columns icon in the Saved views row. Views are shared with everyone in your organization. Click the x on the chip to delete the view (this does not delete the pipeline itself).

Pipelines on custom objects

Custom object types can have their own pipelines too. On a custom object tab, the board dropdown groups options under Pipelines and Schema fields, plus a + Create pipeline option. See Custom Objects and Saved Views for details.

Tips

  • Keep probabilities honest -- the weighted totals are only as useful as your stage percentages. Review them once your close rates settle.
  • One pipeline per process -- separate sales deals from service jobs rather than mixing them in one pipeline.

Troubleshooting

  • "Stage probabilities cannot decrease as you move down the pipeline" -- each stage's default probability must be greater than or equal to the stage above it. Adjust the values or reorder the stages.
  • No amount totals on the board -- the pipeline has no amount field configured. Edit the pipeline and pick one under Amount field.
