Managing Customers
This guide covers how to view, edit, filter, and organize your customer records in the Frontdesk CRM.
Adding a customer manually
- Open CRM (Customers) from your dashboard.
- Click the Add button in the top-right corner of the actions bar.
- Fill in the customer's details in the form that appears -- including phone number, name, email, and any custom fields you have configured.
- Click Save to create the record.
Viewing customer details
Click on any customer record from the Sheet, Board, or List view to open their details. The detail view shows the customer's fields (the Details panel) alongside a set of tabs:
- Details -- view and edit all customer fields, including custom fields
- Calls (Call Logs & Intake Forms) -- listen to call recordings, read transcripts, and view completed intake forms
- Texts (Text Logs) -- review text message conversations. If the omnichannel inbox is enabled for your account, this tab appears as Messages and covers all channels.
- Chat (Chatbot Logs) -- review chatbot conversations
- Email (Emails) -- review email threads, when email is enabled for your account
- Activity -- notes and the change timeline, when activity history is enabled for your account. See Notes and Activity History.
To edit a customer's information, open their detail view and update the fields directly on the Details panel.
Switching between views
The CRM provides three view options, accessible from the toggle buttons in the actions bar:
Sheet view
The default view. Displays all customers in a spreadsheet-style table with sortable columns. Each custom field appears as a column. You can edit field values inline by clicking directly on a cell. Inline cell editing is available only in Sheet view; the other views open the record instead. This is the best view for reviewing and updating large amounts of data at a glance.
Customizing columns
Open the menu on the Actions column header and choose Edit Columns to open the Choose which columns you see modal. Check fields to add them, drag selected columns to reorder them, and click Apply. Column choices are saved per view, so each saved view can show its own set of columns.
Board view
A kanban-style view that groups customers into columns. Use the dropdown in the actions bar to choose what to group by. For contacts, the dropdown lists your pipelines (see Pipelines); for custom objects it also lists dropdown-type schema fields. Grouping by a dropdown or yes/no field shows one column per option.
Each column header shows the group name and how many records it contains. Pipeline columns also show the stage's default probability and, if the pipeline has an amount field, the column's total and weighted amounts.
Clear the grouping by clicking the X next to the selected field name in the dropdown.
List view
A compact row-based view that shows key customer information in a condensed format.
Sorting records
- Click the SortBy dropdown in the actions bar.
- Choose the field to sort by (for example, Created At, or any custom field).
- Toggle between Asc (ascending) and Desc (descending) by clicking the sort direction button.
Filtering records
Quick filters with advanced filter panel
- Click the Filters button in the actions bar.
- The Advanced Filter Panel opens where you can build filter rules.
- Choose a field, an operator (such as equals, contains, starts with, is empty, etc.), and a value.
- Add multiple conditions and group them with AND/OR logic.
- Click Apply to filter your contacts.
Saving a filter view
After applying filters, you can save them as a named view for quick access:
- Open the filter panel and configure your filters.
- Enter a name for the view and click Save View.
- The saved view appears as a pill in the Views bar below the tabs.
Managing saved views
- Click a saved view pill to apply its filters instantly.
- Click the X on a saved view pill to delete it (you will be asked to confirm).
- Click All Customers to clear all filters and return to the full list.
Active filter bar
When filters are active, an Active Filter Bar appears showing the current view name and active filters. From here you can:
- Edit -- reopen the filter panel to modify the filters
- Clear -- remove all active filters
- Save -- save or update the current filter view
Outbound task views
When an outbound calling campaign runs, it creates its own view pill marked with an Outbound Task badge. Click the pill to see the campaign's records grouped by call status: To Call, Connected, Retry Scheduled, and No Answer. These groupings appear in both the board and table layouts. Outbound task views are managed by the campaign and cannot be deleted from the views row.
Deleting a customer
Open the customer's detail view and use the delete option to remove the record. You will be asked to confirm before the record is permanently deleted.
Bulk actions
In the Sheet view, you can select multiple customers using the checkboxes and delete them all at once. A confirmation dialog shows how many records will be deleted before you proceed.
Pagination
When your CRM contains many records, pagination controls appear at the bottom of the view. You can change the page size and navigate between pages.
