Custom Fields

Custom fields let you track business-specific information for every customer in your CRM. Your AI receptionist can collect this data during calls, and you can also fill it in manually.

Accessing custom fields

  1. Open CRM (Customers) from the dashboard sidebar.
  2. Click the Fields & Schema tab.
  3. The Customer Information Fields table shows all of your custom fields.

Field types

Each field has a type that determines what kind of data it stores:

Pipeline fields are created and managed with the pipeline tools rather than the field modal below. They have their own article: Pipelines.

Creating a new field

  1. On the Fields & Schema tab, click the Add New Field button.
  2. In the modal that opens, fill in:
    • Field Name -- the label your team will see
    • Field Type -- choose from Text, Number, Date, Pick from List, or Yes/No
    • Options -- if you chose Pick from List, add the dropdown options
    • Description -- an optional note explaining what this field is for
  3. Click Save.

The new field is immediately available across your CRM. Your AI receptionist will also be able to collect data for it during calls.

Editing a field

  1. Find the field in the Customer Information Fields table.
  2. Click the edit icon (pencil) in the Actions column.
  3. Update the field name, type, options, or description.
  4. Click Save.

If the field is used in any web forms, you will be notified and given the option to update those form questions to match.

Deleting a field

  1. Click the delete icon (trash can) in the Actions column for the field you want to remove.
  2. Confirm the deletion in the dialog that appears.

Deleting a field is permanent and removes all data stored in that field across every customer record. If the field is referenced in web forms, you will see a list of affected forms and can choose to also remove the field mapping from those forms.

Generating fields with AI

If you are not sure which fields to create, Frontdesk can suggest them for you.

  1. Click the Generate for me button at the top of the Customer Information Fields table.
  2. A Generate Fields with AI dialog explains what will happen. Click Generate to confirm.
  3. AI analyzes your business information, agents, workflows, and recent call data, then creates 1 to 5 relevant fields automatically.

Generated fields appear in the table immediately and work just like fields you create manually.

Custom Objects

If your business needs to track data beyond individual customers -- for example, properties, vehicles, or projects -- you can create Custom Objects. When this feature is enabled, an object type selector appears above the CRM tabs. Use it to switch between your default Customers view and any custom object types you have created.

To create a custom object type, click the selector and choose Create Custom Object. Each custom object type has its own schema of fields and its own set of records, separate from your customer list.
