Team Management

Add team members to your Frontdesk dashboard and control what each person can see and do. Team management lets you invite colleagues, assign roles, and set granular permissions.

Prerequisites

  • An active Frontdesk AI subscription (team management is a paid feature)
  • Owner-level access to your account

Accessing Team Management

  1. Open the User Dashboard.
  2. Navigate to Manage Team from the sidebar or settings.

A banner at the top of the page reads: "Add your whole team to the dashboard and control exactly what each employee can see and do."

Tabs

The Manage Team page has three tabs:

All Members

The All Members tab shows a table of everyone currently on your team, including their name, email, role, and status. From here you can:

  • View member details
  • Change a member's role
  • Remove a member from the team

Pending Invitations

The Pending Invitations tab shows all invitations that have been sent but not yet accepted. The count appears in the tab label (e.g., "Pending Invitations (3)"). You can:

  • View pending invitation details
  • Resend or cancel an invitation

Custom Roles

The Custom Roles tab lists any roles you have created beyond the built-in defaults. The count appears in the tab label. You can:

  • View custom role details and permissions
  • Create new custom roles
  • Edit or delete existing custom roles

Inviting a team member

  1. Click the invite button on the Members tab.
  2. In the Invite Member modal, fill in:
    • Email -- the email address of the person you want to invite
    • Role -- select from Default Roles (such as Viewer or other built-in roles) or any Custom Roles you have created
  3. Click to send the invitation.

The invited person will receive an email with instructions to join your dashboard.

Seat limits

Your plan determines how many team members with edit access you can have. If you reach the limit, you can still invite members with the Viewer role, which provides read-only access. To add more edit-access seats, upgrade your plan.

Roles and permissions

Default roles

Frontdesk includes built-in roles that cover common access levels, including a Viewer role for read-only access.

Custom roles

If the default roles do not fit your needs, create a custom role:

  1. Go to the Custom Roles tab.
  2. Click to create a new custom role.
  3. Name the role and configure its permissions.
  4. Save the role.

You can then assign the custom role to any team member or new invitation.

Troubleshooting

  • Team Management Locked message -- team management is available only on subscribed plans. Upgrade your plan to unlock it.
  • Cannot add more edit-access members -- you have reached your plan's seat limit. Upgrade your plan or invite the person as a Viewer instead.
  • Invitation not received -- ask the invitee to check their spam folder. You can resend the invitation from the Pending Invitations tab.
