Google Calendar Integration
Sync your Google Calendar with Frontdesk so your AI receptionist knows your real-time availability and can book appointments directly onto your calendar during phone calls.
Prerequisites
- A Frontdesk AI account with an active receptionist
- A Google account with at least one writable Google Calendar
How it works
Once connected, the integration works in two directions:
- Google Calendar to Frontdesk β all existing events in your Google Calendar are blocked off so the AI receptionist will not double-book those slots.
- Frontdesk to Google Calendar β any appointments booked through calls are synced back to your Google Calendar automatically.
Connecting your Google Calendar
- Open your receptionist dashboard and navigate to the scheduling or calendar section.
- Look for the Google Calendar Sync card, labeled Highly Recommended.
- Click the Connect button (it shows the Google icon).
- A Google sign-in window will open. Sign in and grant Frontdesk access to your calendar.
- After authorization, a Select Calendar modal appears. It lists all Google Calendars you have owner or writer access to. Your primary calendar is pre-selected.
- Choose the calendar you want to sync and click Connect.
You will see a success message: "Calendar connected successfully β Pulling in all existing events from your calendar. This may take a few minutes."
Managing your connected calendar
Once connected, the card updates to show:
- Google Calendar Sync β with a "Connected to [calendar name]" label
- A Refresh button (reload icon) to manually re-sync
- A Disconnect button to remove the connection
Prevent double bookings
Below the connection info, you will see a Prevent double bookings toggle with the description "Block slots with existing Google Calendar events."
- On (recommended) β the AI will not book over time slots that already have events on your Google Calendar.
- Off β the AI may book appointments even when there is a conflict. A warning dialog will confirm: "Frontdesk may book over slots that already have events on your Google Calendar."
Disconnecting
- Click the red Disconnect button on the connected calendar card.
- Confirm in the dialog by clicking Disconnect.
This removes the calendar sync. Events already created will remain on your Google Calendar.
Troubleshooting
- No calendars found β make sure your Google account has at least one calendar where you are an owner or writer. Shared read-only calendars will not appear.
- Sync is slow β initial sync can take a few minutes to pull in all existing events. Use the refresh button to check progress.
- Connection lost β if the card shows "Setting up connection," the OAuth handshake may still be in progress. Wait a moment and refresh the page.
